Procore Integration Setup

Connect your Procore account to Gild for automated project and workforce synchronization

What This Integration Does

Project Sync

Automatically syncs your Procore projects into Gild, including project names, descriptions, locations, and schedules. New projects are synced in real time.

Workforce Sync

Syncs your workforce directory from Procore, including contact information, trade classifications, and assignment status. Changes are reflected automatically.

Before You Begin

Make sure you have the following:

  • Company Admin access in Procore (required to manage app installations and permission templates)
  • The Gild app must be available in your Procore App Management section (your Gild representative will coordinate this)
1

Install the Gild App

  1. Log in to Procore and navigate to your Company level
  2. Go to Company Settings → App Management → Install App
  3. Search for Gild and click Install
  4. Review and accept the requested permissions
When the app is installed, Procore automatically creates a service account for Gild. This is the account that will access your data — no individual user credentials are shared.
2

Configure the Service Account Permissions

The Gild service account needs a permission template that grants access to your project and directory data.

  1. Go to Company Settings → Permission Templates
  2. Create a new template (e.g., “Gild Integration”) or use an existing one
  3. Set the following permissions on the template:
    Procore ToolRequired Permission
    DirectoryAdmin
    Project ManagementAdmin
  4. Go to Company Level → Directory
  5. Find the Gild service account user (typically named “Gild” or your app name)
  6. Edit the service account and assign the “Gild Integration” permission template
This step is critical. Without the correct permission template, the integration will receive “Forbidden” errors and will not be able to sync your data.
3

Add the Service Account to Your Projects

The Gild service account needs to be added to each project you want to sync.

  1. Navigate to a project you want to sync with Gild
  2. Go to Project Level → Directory
  3. Click Add Person and search for the Gild service account
  4. Add it with at least Read Only access
  5. Repeat for each project you want visible in Gild
Only projects where the Gild service account has been added will be synced. You can add or remove projects at any time.
4

Verify Contact Information

Gild syncs worker contact information (email and phone) from your Procore directory. For the best experience:

  • Ensure each person in your directory has an email address or phone number populated
  • Workers without any contact information will be skipped during sync
  • The email address field on each person's profile is the primary identifier used to match records
5

Confirm with Your Gild Representative

Once you've completed the steps above, let your Gild representative know. They will:

  1. Finalize the connection on the Gild side
  2. Run an initial sync to pull in your projects and workforce
  3. Set up real-time webhooks so future changes are synced automatically
  4. Confirm that all data is flowing correctly

What Happens After Setup

Real-time sync — When you add, update, or remove projects or people in Procore, the changes are automatically reflected in Gild within seconds.
No duplicate data entry — Manage your workforce and projects in Procore as you normally would. Gild stays in sync automatically.
Analytics & dispatching — Once synced, your data powers Gild's analytics dashboards and dispatching tools, giving you real-time visibility into workforce utilization and project staffing.

Frequently Asked Questions

What data does Gild access from Procore?

Gild reads project information (name, description, location, schedule) and directory information (names, contact details, trade classifications). Gild does not modify any data in Procore — the integration is read-only.

Can I control which projects are synced?

Yes. Only projects where the Gild service account has been added to the project directory will be synced. You can add or remove the service account from projects at any time.

What if I need to disconnect the integration?

You can uninstall the Gild app from Company Settings → App Management at any time. This will immediately stop all data syncing. Your existing data in Gild will be preserved but no longer updated.

Who can I contact for help?

Reach out to your Gild representative or email support@getgild.com for assistance with setup or troubleshooting.
